Data Governance Checklist for Small Businesses (2026)
13 October 2026 7 min read
Data governance doesn't have to be a six-month project. This checklist covers the essentials a small or mid-sized business needs to be audit-ready and in control of its data.
1. Know what you have
You can't govern data you don't know about.
- Keep one register of your important systems, datasets and shared files
- Record where each one lives and what kind of data it holds
- Note whether it contains personal or customer data
2. Make someone accountable
Every asset needs a named owner — and that owner should know it.
- Assign a business owner to every asset
- Get each owner to confirm, not just be assigned
- Re-confirm owners when people change roles or leave
3. Classify and protect
- Label each asset's sensitivity level
- Check that access matches sensitivity — restricted data shouldn't be open to everyone
- Note where sensitive data is stored outside approved systems
4. Review and prove it
Governance is only real if you can show it.
- Review assets on a schedule (quarterly is a good start)
- Track gaps as actions with an owner and a due date
- Keep an audit trail of changes, and export a report when asked
Turn the checklist into a routine
The hard part isn't writing the checklist — it's keeping it true six months later. A data governance tool like DataSteward runs these checks continuously, so missing owners, unclassified assets and overdue reviews show up as findings the moment they happen.
